Tools to Streamline Podcast bookings

Running a Podcast can sometimes feel overwhelming, especially if you’re a one-(wo)man band trying to run all the marketing, editing, hosting and planning elements without any help.

That’s why it’s important to cut out the excess, create processes that work for you, and automate steps as much as possible. Follow our 5 tips to streamline your Podcast booking process so that you can focus on what really matters!

Ways to Streamline Podcast Bookings to save you time:

  1. Use a project management app or CRM platform to manage your Podcast:

    • Platforms like Monday.com or Asana offer a free tier that is perfect for Podcast management. Here at The Podcast space we use both platforms to coordinate tasks like writing show notes, Podcast editing and episode approval between our team and our clients.

    • You can set a timeline with episode deadlines, email reminders for tasks or follow-ups so that you don’t miss any steps.

  2. Create an email template that will simplify approaching guests:

  3. Create a follow-up email template to answer common follow-up questions:

    • Follow-up is one of the most fundamental (yet overlooked) tasks in project management. By having a follow-up template, you’ll increase your response rate and decrease the time dedicated to the task. Work smart, not hard!

    • Ensure that your email includes hyperlinks with no spelling mistakes or broken links.

  4. Create FAQs and have the list available on your website:

    • Think about the questions you get asked every-single-time.

      • Will the episode be live or recorded?

      • How long will the episode be?

      • Where is the Podcast available?

      • When will my episode be published?

      • Where should I sent people to if they want to listen to the episode?

      • What software or platform will be used to record the interview?

      • What equipment will I need?

    • This can come in the form of a press kit or a hidden website page that is only accessible to guests via a URL.

  5. Use a booking tool like Calendly and synchronize it with your personal calendar:

    • Booking tools are an effective strategy to cut down back and forth emails surrounding availability: your guest is able to see your real-time availability and compare it with theirs.

    • Calendly also allows you can create multiple event types with customizable sign-up information and calls to action. Keep scrolling for a preview!
